Tech Tip – Its That Time Of The Year To Spring Clean!

As we start a new year, it is a great time to consider doing some spring cleaning in terms of your IT systems.  Here are some suggestions on what to look out for and what the benefits are to doing the cleaning!  

• Did you know that if you store data in the cloud that is effectively stale (as in not accessed or used) it will get marked as archive data.  The more of this data you hold, the more it will be flagged as archive and eventually all your services will be moved onto slower media and service, meaning the performance of the services, including email, SharePoint and  Teams will plummet and staff will notice a performance hit.  Move all stale data to appropriate storage so your business doesn't suffer from this form of performance degradation.
• The ICO (Information Commissioners Office) expects businesses to hold data that is appropriate for trading.  If you no longer need to keep data, remove it.  The benefit of doing this means that if you do get a DSAR (data subject access request) you have far less data to search through! 
• The less data you hold on your device, the less risk you are exposed to.  If you were to lose your device or have its security compromised you have far less exposure to the risk of something being leaked
• The less data stored on the device means the less data needs to be indexed meaning that the performance of the computer will improve because there is less information to index and return search results
